How do I use transaction filters using Spend Management?
Transaction filters are designed to streamline your business transactions and help you quickly identify specific transactions faster.
In the Transactions section of the U.S. Bank Spend Management Platform, for either the Reporting or Accounting tabs, you can use the Search bar to input keywords (merchant name, card user, class, tag, etc.) and find specific transactions. Another option is to select the Filters dropdown button and select the transaction Status and Transaction details from the filter list. The following list provides more information about the filter options:
Amounts
Search for transactions within a range or a specific dollar amount.
Cards
Search for transactions on a specific card under the assigned user’s name.
Departments
Filter transactions made on cards assigned to a specific Department.
Note: Departments are only available with a Pro Plus subscription.
General Ledger (GL) Accounts, Location, and Class
These filters are specific to the Accounting view under the Transactions tab. Business owners or account admins must first configure custom mapping to their GL accounts under Account settings to use these filters. Then, users can either manually add the GL account, class, and location to new transactions or use auto-categorization rules to apply these values automatically. Once added to transactions, you can apply the GL Accounts, Location, and Class filters to your transactions search, export those transactions, and import them back into your preferred accounting software.
Merchant categories
Search for transactions in specific spend categories (e.g., Food & Drink, Fuel, Retail & Goods, Travel & Hotels, etc.).
Policy violations
This filter displays transactions that violate any of the expense policies that have been added to your account under Business Settings. These transactions will also have an exclamation point icon next to the transaction amount. Note that transactions may still be in violation even if the status is listed as pending or settled.
Receipts
Search for transactions either with or without a receipt attachment
Status
In the left-most column under the Filters view, you can filter transactions by one or multiple of the following statuses:
- Settled - Transactions are complete, and the amounts of those transactions are final.
- Pending - Transactions have been authorized, but the transaction amount may change once it is settled (e.g., restaurant bills where the tip is later added).
- Declined - Transactions that were unsuccessful purchase attempts. Reasons for why the transaction was declined can be found in the transaction details.
- Tags - Select a tag to search for tagged transactions. You can also use the tag as a keyword in the search bar to find tagged transactions.
